Sending a thank you note is one of the most under-utilized selling tools in the profession of selling. I am sharing the very same notes that I send out to all of my prospects and customers. Feel free to use them word for word in the beginning, but you’ll find better success, if you use these as a guide, and write in your own voice.

1. First Telephone Contact: Thank you for taking a moment to speak with me on ___day. I understand that you wear a number of hats over there, and are pulled in many directions. Please know that I will always be respectful of your time as we discuss the possibility of working together.

2. In Person Contact: It was great meeting you on __day. I enjoyed getting acquainted with you, and look forward to our next conversation. We have been fortunate to serve many happy customers, and I hope to some day be able to serve you. Be sure to call if you have any questions.

3. After First Shipment: Thank you for giving me the opportunity to serve your transportation needs. My goal is now to offer awesome follow-up service so you will have no reservations about making me your go-to broker of choice. Please be sure to call if I can help out in any other way.

4. For a Referral: Thank you for referring ____ to me. Please know that anyone you refer to me will receive the highest degree of professional service possible. (Include $10 Gift card whether referral closes or not)

5. After Final Refusal: Thank you for taking your time to consider letting me serve your transportation needs. It is with sincere regret that your plans do not include my services at this time… If something in your current process changes and you have any questions, please feel free to call. I will keep you posted on new developments and changes that may benefit you. (Make a note/schedule in your calendar to call back in 3-6 months.)

6. To a Carrier After an Important Shipment: Thank you. It is always awesome to meet great people who are dedicated to doing their job well. You really came through for us, and your efforts are sincerely appreciated. If I can ever help you out of a jam, or find a load, please don’t hesitate to call.

7. Three-Month Thank You: Wanted to drop you a quick note, and say thank you for your continued business. You have been a huge contributor to the growth of my business, and I will do everything possible to contribute to the success of yours. Please let me know if there is anything else I can do to chip in.

Make it a point to send at least five handwritten thank you notes a day. It is the small things that go a long way with prospects, and customers. Anyone can send an email, take the extra two minutes, and stand out among your competition.
